We're on the lookout for an experienced full-time Secretary to join our well-established client based in Loughborough on a temporary contract for maternity cover. 

About the role:

As a Secretary, you will work closely with the Executive Assistant to provide a high level of administrative support to the Executive team.

Core responsibilities:

  • To promote the client’s vision, mission, and strategic objectives and to promote the values and behaviours which underpin them at all times.

  • To act as an ambassador for the client in dealings with all external agencies

  • To proactively promote equality of opportunity in all aspects of the work role and to assist in the leadership and management of compliance to the agreed Health & Safety policy and practice.

Role Specific Responsibilities:

  • Provide diary management to the Executive team.

  • Arrange and manage meetings, including preparation of relevant papers, booking rooms, refreshments, and travel arrangements.

  • Efficiently produce high-quality minutes

  • Proofread documents.

  • Create high-quality papers for executive members.

  • Provide servicing and secretarial support to meetings as requested, ensuring that confidentiality is always maintained.

  • Screen telephone calls enquiries and requests, relaying appropriately or handling them when necessary.

  • Provide administrative support to exec members as appropriate.

  • Data entry on a regular or ad hoc basis to produce a range of information to meet the requirements of exec.

  • Support the Executive team to meet deadlines.

  • Any other duties commensurate with the grading of the post.

 

About you:

To be considered for this role, you will require:

  • Minimum of 3 years experience in an office-based administration environment

  • Extensive knowledge and understanding of Microsoft Office

  • Excellent communication skills (both written and verbal)

  • Excellent organisational and diary management skills

  • Ability to work effectively and accurately under pressure and to tight deadlines
