Hours of Work: 9.30am – 12.30pm – Mon – Fri (15hrs)

CORE OBJECTIVES OF POST
To provide administrative, secretarial and reception services that support the smooth running of the Centre. Contribute to the wider work of the client carrying out specific tasks as agreed from time to time.
- Front of house, meeting & greeting
- Dealing with incoming telephone calls, handling/diverting/taking messages as appropriate. Make outgoing calls on behalf of management as required.
- Control access to building, checking identities, welcoming visitors & logging contract work. In the absence of all managers accept overall responsibility for the site.
- Register attendances/absences of clients accurately for invoicing & control purposes
- Maintain and develop all relevant administrative procedures and computer programmes. Keep all files, records and databases updated, complete and in good order.
- Oversee the telephone and office computer networks, arranging maintenance as required and advising the Hub Manager on potential adaptations and additions to give improved performance & ease of use.
- Ensure that post is delivered/collected regularly and deal with any problems as necessary.
- Attend staff and other meetings to take notes and afterwards issue minutes promptly
- Be part of the team, working flexibly and contributing to wider activities and emergency situations as required & always upholding company policies.
- Flexibly to suit the needs of the post and work fairly with the team as required, including taking turns in small extra duties outside of normal hours such as getting the centre supplies or waiting for late taxis etc.
