Business Support Officer
We are on the lookout for a Business Support Officer to join our well-established client in Oxford. The pay is between ?10.92 to 15.06 per hour. This is a full-time role working Monday to Friday with no weekends.
Our client is the elected body responsible for the most strategic local government services in the county. These services include but are not limited to highways, street lighting, school admissions, health and social care, registrations, blue badges, and bus passes.
About the role:
As a Business Support Officer, you are responsible for:
. To provide administrative, front-of-house, secretarial, and project support for the Policy Team, Chief Executive's Personal Office and more broadly within the team as required
. Provide flexible support for the forward planning duties of the Policy Team, which involves supporting key formal and informal meetings of both senior management and members. Working with a policy officer, the duties include, but are not limited to:
o Managing the "Meetings Forward Plan" electronic calendar, ensuring meeting invitations are sent in a timely manner with a rolling 12 month look-ahead.
o Maintaining the Policy Team's meetings calendar spread sheet, ensuring it is kept up to date with a rolling 12 monthly look-ahead.
o Ensuring the Policy Team Forward Plan document correctly reflects the forward plans of Cabinet, Council and other key committee meetings.
o Ensuring papers for CCMT and Informal Cabinet meetings are received by the submission deadline and preparing them for circulation.
. Provide flexible administrative support to the Policy Team, to include but not limited to:
o Providing general office support, such as phone cover and message taking, collecting post every day, etc.
o Arranging and preparing for various meetings such as CCMT, Informal Cabinet, Localities, Policy Team meetings, lunchtime briefings etc. (on average there are 3-4 meetings to support each week), including meeting room bookings and catering.
o Providing general administrative support for the team, including ad hoc printing, photocopying and management of distribution and telephone lists.
o Managing and monitoring the intranet and internet pages owned by the Policy Team, liaising with page owners to ensure webpages are kept up to date.
o Ensuring the smooth running of the office
. Provide flexible administrative support for the Chief Executive's Personal Office. Duties include, but are not limited to:
o Ensuring people contacting and arriving in the Chief Executive's Office are dealt with courteously and effectively.
o When cover is required, responding to email, postal and telephone enquiries in a courteous, efficient, and timely fashion, and providing an efficient and welcoming "front of house" service.
o Be willing to be flexible and provide cover, broadly in line with these responsibilities, across the Chief Executive's Office as required (e.g., holiday / sick leave).
I am keen to speak to anyone who has experience of working in administration and supporting the work of a team.
I am interested in speaking to anyone who has good ICT skills including the ability to use of Microsoft Applications especially the use of Power Point to an advanced level.
