We’re on the lookout for an Accounting, HR and Office Assistant to join our well-established and respected client in based in Loughborough on a full-time, permanent basis.
This role offers £28,743 per annum.
About the role:
Hybrid working based in the UK Office (Loughborough) 3 days a week & remote 2 days a week (mandatory Wednesday in the office).
37.5 hours per week - 8.30am - 4.30pm
Reporting to UK Customer Support Manager/Operations Team Leader French Accounting Manager
Job Responsibilities
Accounting:
Management of the account’s payables:
Input of invoices
Make BACS/CHAPS payments
Management of the accounts receivables:
Integration of sales invoices into the accounting system
Sending to the customers
Customer reminders (phone calls, emails)
Dealing with Customer Queries regarding Invoices/Payments
Bank accounts:
Cash the bank checks received/Process BACS PAYM
Make payments (suppliers, expenses claims, social costs…)
Booking of bank entries into the accounting system
General accounting:
Input of expenses claims
Input of intercompany entries (payments, interests…)
Preparation of monthly reporting (accruals, prepaid costs…)
Assisting in the preparation of YE reporting
Raise any additional reports requested
Quarterly VAT declaration & payments
Management of Archive files
Credit Checking
Petty Cash – GBP & EUR
Monthly compilation of payroll variable elements (overtimes, allowances, paid leave…)
HR Assistant:
HR Filing and record keeping including Induction, Holiday, Training Sickness, Equipment/Asset lists, Data protection, New Employees, Leavers, P60’s, P45’s etc.
Pension & Death in Service Management
Employee Handbook
Fleet management, to include but not limited to:
Organising fleet insurance and other cover
Maintain fleet records (Company Car and Allowance)
Organising vehicle servicing
Organising repairs when required
Organising test drives of new vehicles if required
Processing P11D’s with Accountant & France
Mileage for Vehicles with Car Allowance
Office Management
Boiler servicing
Company Insurance
Photocopier maintenance/readings
Utilities – Water/Gas/Electricity
Office Repairs
Office Alarms Maintenance and Testing
Management of other Office requirements
Purchasing – Tools/Equipment/Office Stock/Stock/Stationery
Supplier Management
Uniform management/purchasing
Social Activities (Christmas Meal, Visitors etc)
Travel Arrangements – UK and overseas.
Admin
Additional Office and Sales Admin as needed.
